Institutional Membership – Institutional Membership is available to libraries only. Corporate entities, and individuals representing corporate entities, may join as individual members

Extended Duties Regarding Membership
Chair – Membership duties shall be to recruit new members, promote HPCMLA and MLA membership, and welcome new members. Membership duties should also be to survey members in good standing once per Chair’s term in any method the chair desires.
Treasurer, Annual Membership – The duties shall be to oversee all membership activities which include sending timely renewal reminders to the membership, collecting annual membership forms and dues, notifying the Chapter’s Electronic Mail Account Owner of any membership changes to the Chapter’s listserv (new members and discontinued members) and the Web site Editor so that the online directory may be updated, and serving as Chapter Representative on the MLA Membership Committee.
Appointed Officers
Terms of Office
Appointed Officers of the Chapter shall be the Archivist, Web site Editor, and Electronic Mail Account Owner. The terms of office for all appointed officials are indefinite unless they resign, die, become incapacitated, or are removed. The appointment is made by the Chair.
Duties
Archivist – The duties of the appointed Archivist shall be to collect, organize, properly house, care for, and transport as necessary any historical records and artifacts of the Chapter, maintain archival supplies as needed, act as the liaison between the Chapter, the Chapter’s Archives, and the institution used to permanently store the Chapter’s Archives.
Web site Editor – The duties of the appointed Web Site Editor shall be to keep the Chapter’s Web site information, photos, online Membership Directory, and New Officers list updated and current, resolve any access problems to the Chapter’s Site.
Electronic Mail Account Owner – The duties of the Electronic Mail Account Owner shall be to maintain the Chapter’s electronic mail contact information for all incoming and outgoing Chapter members on an annual basis upon notification from the the Treasurer.
Standing Committees (see ARTICLE VII.)
Duties & Functions
Nominating & Elections Committee – Consists of one (1) to three (3) members appointed by the Executive Board, excluding the Chair and Chair-Elect. The term (i.e., duration) will also be determined by the Executive Board at the time of appointment(s), if not, the default term is one (1) year. The most senior member acts as Chair. Responsible for finding nominees for offices to be filled, creating and mailing (emailing) the ballots, collating the results, immediately publishing a list of New Officers and submitting copies to the Secretary in time for the Chapter’s Annual Meeting and Web site Editor for Web site content changes, and announcing the results of the election
Bylaws Committee – Consists of one (1) member appointed by the Chair for a one (1) year term. Responsibilities include: assuring that HPCMLA Bylaws are in accordance with MLA Bylaws, considering, preparing, and presenting proposed changes to the Bylaws to the HPCMLA Executive Committee and to MLA for approval.
Continuing Education Committee – Consists of the Immediate Past Chair for a one (1) year term. Responsibility is to make all arrangements for at least 1 Continuing Education (CE) opportunity each year. The Chair of the Continuing Education Committee serves as the Chapter Representative on the MLA Continuing Education Committee.
Credentialing Committee Liaison – Consists of one (1) member of the HPCMLA, who is an AHIP member, for a three (3) year term. Promotes AHIP membership within HPCMLA. Serves as Chapter Representative on the MLA Credentialing Committee.
Professional Development Award
The Chapter’s mission to increase knowledge, skills, and competencies of its members by offering opportunities for educational and professional growth aligns with the MLA Professional Competencies that promote lifelong learning and professional success.
The MLA professional competencies cover the following six key areas.
- Competency 1: Information Services
- Competency 2: Information Management
- Competency 3: Instruction & Instructional Design
- Competency 4: Leadership and Management
- Competency 5: Evidence-Based Practice and Research
- Competency 6: Health Information Professionalism

The award helps to promote the Chapter’s mission by offsetting related expenses incurred from conference/meeting travel (e.g. airfare), application fees (e.g. AHIP), and program/training fees (e.g., MLA RTI, AAHSL, RML Regional/MLA Annual meetings, etc.).
Each calendar year, one (1) award valued up to $500 is available for regular Chapter member applicants.
Guidelines:
- Recipients must have current, individual membership in the HPC-MLA (in good standing, all dues paid), and reside within the geographic boundaries of the HPC-MLA (as defined in the Chapter’s Bylaws).
- Eligible membership is restricted to Regular only (not Student or Emeritus).
- An applicant may apply to and receive the award for only two years in a row with a required pause of one year after they receive a second award. Applicants may reapply after receiving an award but priority is given to first-time or infrequent applicants.
- Applications must be submitted no later than Dec 25, in order to be eligible for consideration. If this deadline is missed, the application does not qualify for the following year as all reimbursements are awarded for activities, fees, etc. completed within the calendar year for which the award covers.
- If an Executive Board member applies for the award, they will be given priority over regular members if applying for attendance at the MLA Annual Meeting or other regional Chapter meeting or related events/activities as a representative of the Chapter. Board applicants are strictly exempt from participating in the review process. In the event the HPC-MLA Credentialing Liaison applies for the award, the Executive Board shall appoint a person to oversee the award process for the remainder of the calendar year.
Procedure:
- Eligible applicants must contact the current HPC-MLA Credentialing Liaison via email to begin the process. Information required:
- Full name
- Contact information (for answering questions)
- Amount requested (up to $500)
- List reason(s) for the application and how the activity/program/meeting will support learning goals toward MLA competencies along with any essential details, documentation/links, etc. to substantiate what the award amount is intended to cover. Please itemize and include any estimated costs.
- The Executive Board will review the applications and vote whether the award will be granted. The Credentialing Liaison will follow-up with the applicant to announce whether the award was approved or not.
- If approved, the recipient then submits proof of payment such as acceptance letter, registration confirmation, and receipts. Once reviewed and approved, a personal check for the said total amount is issued via the Treasurer. The Treasurer can, at this point, issue a lesser amount if the awardee cannot substantiate certain itemized requests. The receipts validate that the award monies are used accordingly based on the initial application request that was submitted to the Credentialling Liaison in Step 1, above.
- All applicants are encouraged to consult the HPC-MLA Credentialing Liaison for guidance during the entire application process.
